The weekly and monthly workflow
Capture, code, match, exception, rec, review, report, lock. Same spine whether the file is Xero or QBO.
Weekly (or daily on volume)
- Publish Hubdoc/Dext drafts. Query anything without an account.
- Raise missing sales invoices; send statements to 30+ day customers.
- Enter bills; schedule payments; never pay an unentered bill from the bank app blindly.
- Reconcile all feeds. Match invoices and bills; do not OK-create over the top of them.
- Exceptions list: new suppliers, odd amounts, unapplied credits, clearing ≠ 0.
Monthly
Run the close checklist from Close → Month-end. Meet the owner for twenty minutes on the pack. Take actions (write-off requests, price issues, “why is software 3×”) as tickets, not as vibes. Then lock.
Xero vs QBO is a dialect
The spine does not change. Screens do. Xero is usually faster at bank rec and tracking; QBO is usually friendlier to US tax, 1099s, and many CPAs. A professional bookkeeper can translate: invoice ↔ invoice, bill ↔ bill, credit note ↔ credit memo, tracking ↔ class, spend money ↔ expense, manual journal ↔ journal entry, lock date ↔ close the books. The next lesson you owe a client is their chart and their calendar, not your favourite logo.
