What bookkeeping actually is

Bookkeeping records; accounting interprets. The source of truth is the ledger, not the bank app.

The job

Bookkeeping is the systematic recording of a business’s financial transactions so that, at any moment, you can say what it owns, what it owes, what it earned, and what it spent. Accounting uses those records to produce statements, tax filings, and advice. The two jobs overlap in a small firm; they are not the same skill.

A complete set of books answers four questions without guesswork: What came in? What went out? What is still owed either way? Does the bank agree?

Source documents first

Every posting needs a source: invoice, bill, receipt, bank statement, payroll register, contract, or signed journal. Cloud software does not replace the document. It stores it. If you cannot produce the document, you cannot defend the number.

  • Sales invoice — evidence of a sale on credit (or cash sale if paid immediately).
  • Supplier bill or receipt — evidence of a purchase.
  • Bank statement — independent record of cash movement. This is not the books; it is what you reconcile the books to.
  • Payroll report — evidence of wages, withholdings, and employer taxes.

Single-entry vs double-entry

A checkbook or a shoebox of receipts is single-entry: you record that cash moved. Double-entry records both what happened to cash (or a receivable/payable) and why — the other side of the story. Xero and QuickBooks Online are double-entry systems. You may never type a journal, but every invoice, bill, and bank match posts two or more lines that still have to balance.

Where this lives in software

In Xero the general ledger is built for you as you raise invoices, enter bills, and reconcile the bank. Manual journals exist for the rest. In QuickBooks Online the same split applies: most day-to-day posting happens from Invoices, Bills, Expenses, and Banking; Journal Entry is the escape hatch.
